Package 01 · Coordination

You planned the vision. We ensure flawless execution.

Enterprise-grade run-of-show logistics, vendor takeovers and hands-on execution across Orange County, Rockland County and the Hudson Valley.

Why "day-of" is actually month-of

True day-of execution cannot happen without thorough preparation. Handing over plans on the morning of a celebration creates blind spots, missed cues and vendor miscommunication. Coordination begins 4 to 6 weeks before your date: I audit every vendor contract, resolve logistics gaps, build a synchronized minute-by-minute timeline and assume full operational management — so your only job on the day is celebrating.

Who this tier is for
  • Couples and hosts who have booked all their vendors and finalized styling, but want professional management on-site.
  • DIY planners who want to relieve parents, wedding party or friends from hosting duties.
  • Venues requiring an insured, dedicated third-party coordinator to manage off-site catering, entertainment and decor teams.
What's included

Scope of the coordination package

Vendor takeover
4–6 weeks prior
Introduction to all contracted vendors, insurance verification, contract terms review, load-in coordination and meal counts.
Master timeline architecture
A comprehensive, synchronized schedule distributed to you, VIP family members, venue managers and every creative vendor.
Final venue walkthrough
On-site inspection across Orange or Rockland County to map layout flow, electrical access, rain contingencies and ceremony entrances.
Ceremony rehearsal direction
A full 60-minute rehearsal run-through for family, wedding party and officiant.
On-site day-of management
A two-person team — me as lead coordinator plus an assistant coordinator — on site for up to 10 hours: load-in, decor staging, vendor check-ins, cueing formalities (entrances, speeches, first dances) and end-of-night pack-down. Additional assistants are added for guest counts above 200.
Emergency kit & crisis mitigation
Instant troubleshooting for vendor delays, missing items, wardrobe malfunctions or weather shifts.

What is the difference between this and the venue's coordinator?

A venue manager is responsible for the property, in-house staff and venue catering. I work exclusively for you: managing all outside vendors, directing your photographer and DJ, tracking personal items, lining up your bridal party and overseeing your schedule from hair and makeup to the final exit.
